New Employee Checklist System Helps Squelch Staffing Headaches

There are three (3) issues that contribute to the staffing problems prevalent in many swim schools.

They are:

  1. Understand that great companies are ALWAYS soliciting resumes, hiring and training. It is better to have too many resumes in your pipeline than not enough! Your payroll percentage may notch up a point or two; but that’s better than having a waiting list or poorly trained (too quickly) staff on the teaching floor. You can use trainees as “designated floaters” during peak teaching times.
  2. The need for an organized, written checklist system for Hiring, Orientation and Onboarding – see below to see a sample of exactly what I mean (which you are free to customize with your branding and use.)
  3. Have an ongoing Internal Staff Education “University” that defines the progression of education and compensation for each position in the company.

NEW STAFF CHECKLIST SYSTEM
(customize for your school and with your logo)

HIRING (up to 1 week)

  • Tour of facility; describe scope of activities, introduce to staff.
  • Give Advice to Applicants and Employment Application.
  • Resume, Reference Letters, Background Check.
  • Reference Check.
  • Formal Job Interview – may include Team Interviews.
  • Arrange time for Work Sample Observation.
  • Introduce to online Instructor Training and Lesson Plan system.
  • Review Company Employment Handbook and Cultural Cornerstones.
  • Give national and state/provincial Employment Forms as needed.

ORIENTATION (up to 1 month)

  • Applicant returns signed Manual sheet, Employment Forms.
  • Understanding of 30 day trial period.
  • Fingerprinting, Drug Test if necessary.
  • Review exact Position Description(s) and Evaluation Process.
  • Initial Hours assigned.
  • Introduce to Owners, Supervisors, Office and other Key Staff.
  • Show how to record hours electronically.
  • Use of online Instructor Training and Lesson Plan system.
  • Short Evaluation after first 30 days.

ONBOARDING (up to 3 months)

  • New Staff member’s questions, observations, any concerns.
  • Personal Organization and Effectiveness Course.
  • Study of the specific Program Training Manual.
  • First full Evaluation (Self and Supervisor).
